Conference Room AV Setup for Enterprises: A Practical Guide

A conference room AV setup in India has to satisfy three groups at once: the people in the room, the colleagues dialling in from another city, and the IT team that gets the call when the call drops. The hardware is rarely the problem. Rooms fail because the display, microphones, network and booking system were bought separately and never designed to work as one.
Here is how we approach it across corporate campuses, from six-seat huddle rooms to 20-seat boardrooms.
Match the conference room AV setup to the room size
Room dimensions should decide the equipment list, not the budget line. A huddle room seating four to six people works well with a single all-in-one video bar and one 55-inch display. A mid-sized room of eight to twelve seats needs a separate camera with auto-framing, a 75-inch display, and table or ceiling microphones. Boardrooms of sixteen or more need dual displays, a PTZ camera, a ceiling microphone array and a DSP to manage it.
A useful check: the furthest seat should be no more than six times the display height from the screen. If people squint at a shared spreadsheet, the display is too small regardless of resolution.
Audio decides whether the room actually gets used
Employees forgive a mediocre picture. They stop booking a room where remote participants cannot hear them. Budget for microphone coverage of roughly one ceiling mic per 15 square metres, acoustic echo cancellation, and basic treatment on glass-heavy walls. In open-plan offices adjoining the room, a properly tuned sound and audio system prevents the corridor noise that ruins recordings.
Build for the platform and the network
Standardise on hardware certified for whatever your organisation runs — Microsoft Teams Rooms, Zoom Rooms or Google Meet. Certified devices update centrally and cut support tickets sharply. Plan around 5 Mbps per room for 1080p calls, put AV endpoints on their own VLAN, and use PoE+ switching with structured cabling terminated at a nearby rack. Skipping the IT infrastructure groundwork is the most common reason a well-specified room underperforms.
Add a room-booking panel outside the door. It costs little and settles most of the scheduling disputes that follow a new office fit-out.
What a rollout typically looks like
For a multi-floor office, expect two to three weeks from site survey to handover for eight to ten rooms, assuming civil work and cabling paths are ready. Standardising two or three room templates across all sites keeps spares, training and support manageable — particularly for enterprises operating in several cities.
